Privacy Policy

This Privacy Policy explains how AB Sky & Design LLC ("Rentium," "we," "us") collects, uses, and protects information when you use the Rentium property management platform (the "Service"). Rentium serves three kinds of users — property managers, landlords, and tenants — and the data we handle depends on which role you use. The Service is offered in the United States. By using the Service you agree to the practices described here.

1. Information We Collect

Account information: your name, email address, and role (manager, landlord, or tenant), managed through our authentication provider (AWS Cognito). We do not store your password — it is held by Cognito.

Property and lease information: properties, units, leases, rent amounts, lease documents, and related records that managers and landlords enter to operate their portfolios.

Tenant and applicant information: lease details, payment history, maintenance requests, messages, documents, and rental-application and screening details that a manager or landlord enters (see Section 5).

Payment information: when you pay or collect rent, payments are processed by Stripe. Card and bank-account numbers are sent directly to Stripe and are tokenized — Rentium never stores full card or bank-account numbers on our servers. We retain payment metadata such as amount, status, date, and the last four digits where provided.

Usage information: basic technical data (e.g., request identifiers, error logs, device/browser information) used to operate, secure, and debug the Service.

2. How We Use Information

To provide the Service: managing properties, units, leases, payments, maintenance, and messaging across the manager, landlord, and tenant experiences.

To process rent and related payments through Stripe.

To send transactional communications (e.g., account, lease, payment, and maintenance notifications) by email and push notification.

To secure the Service, detect and prevent fraud or abuse, and diagnose technical problems.

To comply with legal obligations.

3. Data Isolation Between Organizations and Roles

Rentium is multi-tenant. Each organization’s data is scoped to that organization, and access is restricted by role: managers see their organization’s data, landlords see only their own portfolio, and tenants see only their own tenancy. We design the Service so that one organization cannot access another organization’s data.

4. How We Share Information

We share information only as needed to run the Service: with property managers and landlords for the tenants and properties they manage; and with service providers who process data on our behalf.

Service providers (sub-processors) include, among others: Amazon Web Services (hosting, database, storage, email, and notifications), AWS Cognito (authentication), Stripe (payment processing and payout accounts), and — if enabled — Sentry (error monitoring) and PostHog (product analytics). Each processes data only to provide services to us.

We do not sell your personal information. We may disclose information if required by law or to protect rights, safety, or the integrity of the Service.

5. Screening and Applicant Information

Where a manager or landlord uses the Service to record rental applications or screening information (such as income, employment, references, and credit or background indicators), that information is entered and controlled by the manager or landlord. For that data, the manager or landlord is the controller and decides how it is used; Rentium hosts and processes it on their behalf.

Rentium does not procure, assemble, or furnish consumer reports and does not perform credit or background checks. If you are an applicant or tenant and want to access, correct, or delete screening information about you, contact the manager or landlord who handles your application or tenancy; we will support their response as needed.

6. Cookies and Tracking Technologies

We use a small number of cookies and similar technologies that are necessary to run the Service — for example, to keep you signed in and to keep your session secure. Where product-analytics tooling is enabled, we may also use limited analytics to understand how the Service is used and to improve it; we do not use this data to build advertising profiles, and we do not sell it. You can control cookies through your browser settings, though disabling necessary cookies may prevent you from signing in or using parts of the Service.

7. Data Security

We use industry-standard safeguards, including encryption of data in transit (TLS) and access controls that scope data by organization and role. Payment card data is handled by Stripe, a PCI-DSS Level 1 service provider, and is not stored on our servers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Security Incident Notification

If we become aware of a security incident that affects the confidentiality or integrity of your personal information, we will notify affected users and, where required, the appropriate authorities without undue delay and consistent with applicable law. For data controlled by a manager or landlord, we will cooperate with them so they can meet their own notification obligations.

9. Data Retention

We retain information for as long as your account is active and as needed to provide the Service, comply with legal and tax obligations (including financial and lease records), resolve disputes, and enforce our agreements. Financial and ledger records may be retained on an append-only basis for accounting integrity.

10. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. Residents of California, Texas, and other states with consumer-privacy laws may exercise the rights those laws provide, including the right to know what personal information we hold and to request its deletion; we do not sell personal information and we will not discriminate against you for exercising your rights.

Tenants and applicants should note that some records (such as lease, payment, and screening history) are also controlled by the landlord or manager who operates the tenancy, and requests about those records may need to be fulfilled by them. 11. Children’s Privacy

The Service is not directed to children under 18, and we do not knowingly collect personal information from children.

12. Governing Law

This Privacy Policy and any dispute relating to it are governed by the laws of the State of Texas and applicable U.S. federal law, without regard to conflict-of-laws rules, except where a privacy law of your state of residence provides you rights that apply regardless.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, by additional notice.
